Online User Codes

The Site Coordinator will be notified via email when online user codes are available at the Client Services Center. Site Coordinators should immediately verify test titles ordered, quantity of user codes for each test title, and specifications such as test type (e.g., pre-test, post-test), number of sessions, and level (e.g., secondary, post-secondary) are accurate. If there are any discrepancies, contact NOCTI immediately. Note, if test specifications were ordered incorrectly, fees may be incurred to make corrections.

Skill-based assessment materials ordered as a set with online knowledge-based assessments will typically be shipped to arrive about two weeks prior to the post-testing date provided on your order. Skill-based materials package(s) will include the following:

  • Skill-Based Assessment Booklet (one for each participant);
  • Evaluator Guide (one for every five skill-based tests ordered per test title, additional guides are available at an extra cost);
  • Supplemental Book or Media (applicable for some skill-based tests); and
  • Instructions for Skill-Based Assessment Evaluators (one for each test title ordered).

Skill-based ratings must be entered into the online system through either the Client Services Center or the online testing system upon completion of skill-based test administration.  Instructions for entering skill-based ratings can be downloaded from the Client Services Center.

Paper/Pencil Assessments

As the Site Coordinator, the entire shipment of assessments and related materials will be shipped to your attention. Immediately upon receipt of the materials, examine and inventory the contents to make sure you have received the entire order and the correct test titles/test codes. Make certain that the number of booklets and answer sheets received agrees with the packing slip and the order. It is important to verify you have all the materials ordered. If there are any discrepancies, contact NOCTI immediately. 

The following items will be included in your shipment for paper/pencil assessment orders:

  • Knowledge-Based and/or Skill-Based Assessment Booklet (one for each participant);
  • Evaluator Guide (one for every five skill-based tests ordered per test title, additional guides are available at an extra cost);
  • Supplemental Booklet or Media (applicable for some skill-based tests);
  • Demographic Sheet-Individual (one for each participant);
  • Demographic Sheet-Special Populations (one for each order to be used by Site Coordinator);
  • Instructions for Knowledge-Based Assessment Proctors and/or Instructions for Skill-Based Assessment Evaluators (one for each test title ordered);
  • NOCTI Answer Sheet (one for each  participant);
  • Coordinator Cover Sheet (typically three provided with each order); and
  • Attendance Roster (one for each test title ordered).

Securing Assessment Materials

Once received by the Site Coordinator, assessment materials (paper/pencil and online user codes) must be kept secure at all times.

  • Paper/pencil knowledge-based and skill-based assessment materials must be secured in a safe, locked cabinet, or closet to which only the Site Coordinator or specifically authorized individuals (e.g., co-coordinator) have access.
  • Online user codes must be kept secure by limiting access to the Client Services Center or any printed lists to the Site Coordinator or specifically authorized individuals (e.g., co-coordinator).

Client Services Center login credentials as well as online user codes and passwords should always be treated as secure assessment materials.  Login credentials should NOT be shared with anyone.  If you wish for another administrative person to have access to the Client Services Center, please complete a Co-coordinator Request form to add them as a Co-coordinator.  Instructors cannot have access to the Client Services Center. The Site Coordinator must report any unauthorized access to the Client Services Center or testing materials to NOCTI immediately. 

Security during and after the test administration session is also critical. 

  • During administration, it is the Site Coordinator’s responsibility to ensure that only authorized proctors and evaluators have access to assessment materials.
  • After administration it is critical that all assessment materials (booklets, evaluator guides, answer sheets, etc.) are accounted for and secured.  Refer to the After Administration section of this guide for information on handling used and unused assessment materials.
