The Data Upload Tool allows Coordinators to upload test taker information directly to the Client Services Center. This can help save time, improve accuracy, and make user code assignment easier, especially for sites testing large groups. 

Uploaded information may include test taker names, unique IDs, program details, test codes, and graduation dates. Once an online assessment order is processed, the uploaded data can be used to assign user codes for testing.  

The Data Upload Tool is located in the Manage Testing section of the Client Services Center.  

Prepare and Upload Test Taker Data 
Step 1: Prepare the Data File 
  1. Download the Data Upload Tool Template.  
  2. Enter test taker information into the template. 
  3. Make sure all required fields are complete and that information is entered in the correct columns. 
  4. Remove the sample row. 
  5. Do not delete any columns or column headings.  
  6. For unique IDs with leading zeros, format the column as text to preserve the zeros.  
  7. Save the file in .xls, .xlsx, or .csv format. 
Step 2: Upload the Data File 
  1. Click Choose File and select the completed data file.  
  2. Click Upload Selected File to load the data into the work area.  
  3. Review the uploaded data carefully. 
  4. Confirm that all fields are in order and that values appear in the correct columns.  
  5. If errors are found, Coordinators may:  Click Clear the Work Area, correct the file, and upload it again.  
  6. Click Edit for an individual test taker, make the needed changes, and select Update.  
  7. Once all data is accurate, click Submit to complete the upload.  
  8. Click View Uploaded Data to verify the upload. If multiple sites are included, select the appropriate site code to view each site’s data. 
Step 3: Assign User Codes 
  1. Go to Manage Testing. 
  2. Select the tab for the appropriate test type, such as pre-test or post-test.  
  3. Click Assign Uploaded Data (upper left).  
  4. Review the test taker list.  
  5. Sort by any column or use Filter by CTE Program to refine the view.  
  6. Select individual test takers or choose Select All.  
  7. Click Assign Selected Names.  
  8. Click Return to go back to the Manage Testing page. 
Notes and Best Practices 
  • Incomplete records, such as records missing a name or unique ID, will be rejected during upload.
  • Use the  work area to identify and correct missing information before submitting the upload.  
  • Uploaded data is removed annually on July 31. This does not impact scoring data.
