Prepare Data
- Download the provided participant data template. Data Upload Tool Participant Template.xltx
- Format participant data and ensure the required fields are provided and the fields are in the correct order.
- Remove data in the sample row.
- Do NOT remove ANY columns or column headings.
- If participant unique IDs have a leading zero, format that column as text to ensure the zeroes remain.
- Save the file in .xls, .xlsx, or .csv format.
Upload Data
- Click on the Choose File button and locate the data file.
- Click the Upload Selected File button to load the data into the work area for review.
- Review the data in the Work Area. Confirm fields are in the correct order and data appears in the correct columns.
- If there are errors:
- Click the Clear the Work Area button, fix the data file, and re-upload.
- Click Edit for each participant needing fields to be fixed. Apply necessary edits and click Update.
- Click the Submit button to upload the data when accuracy is confirmed.
- Click on the View Uploaded Data button to view the uploaded data.
- Select the site code to view uploaded data (if data for multiple sites has been uploaded).
Assign User
Codes
- From the Manage Testing section, select the tab for the test type (i.e., pre-test, post-test, etc.).
- Click on the Assign Uploaded Data button (upper left side of screen).
- View the available participants and sort by any column if desired or use the “Filter by CTE Program” drop down menu.
- Select the participants to assign, or select all, by checking the appropriate box.
- Click on the Assign Selected Names button.
- Click Return to be directed back to the Manage Testing page.
NOTES
Incomplete records (i.e., missing a name or participant ID) will be REJECTED when uploading. Use the work area to review your data and identify any missing information and apply necessary edits.
All uploaded data is removed from the Client Services Center annually (July 31). This will not affect scoring data.
